The Business Build | Pulse Point HQ
THE 2027 BUSINESS BUILD

Can I build a thriving real estate business using the systems I built?

Hi, I’m Amanda — founder of Pulse Point HQ and an active Colorado real estate broker.

In 2027, I’m setting out to have the best production year I’ve ever had.

Will I make it? I hope so.

I’m documenting the entire journey as it happens — the goals, the business plan, the daily activities, the numbers, what works, what doesn’t, why I’m even doing this, and how I came to build Pulse Point HQ in the first place.

Follow along and dig into all the nitty-gritty details below.

Or better yet…

Build your business with me.

THE GOAL

Solo agent. These are my goals, and it doesn’t have to match yours. It’s not a contest. Just here for transparency.

ANNUAL TRANSACTIONS
0
CLOSED SALES VOLUME
$ 0 M
Gross Commission Income
$ 0 k

Thirty transactions would put me just beyond the best production year I’ve ever had. The $15,000,000 sales volume assumes a $500,000 average sales price, which is pretty typical for me.

But here’s the part that makes this project interesting. . .

The Backstory

My real estate production has varied quite a bit over the years. A more typical year for me has been somewhere between 15–22 transactions; occasionally higher, but rarely less.

In 2026, my production dropped significantly. It currently sits at:

6 Transactions
$3,051,750 Sales Volume

That’s extremely low for me.

And there are two BIG reasons why it happened.

First, I got bored. I mean, I was just completely over it. I didn’t want to talk to people. I wanted to be home. I craved something new.

Second, I became incredibly focused on building Pulse Point HQ. It was my something new. So, I spent my days learning, creating, developing, testing, and adding to the platform.

While I was building a platform to help streamline consistent database marketing for agents, I completely failed to continue to do so for my own business. Not going to lie, it was a bit of self-sabotage. I knew if I did the activities, business would happen — and I didn’t want it.

That eventually caught up with me.

See my 2026 production graphed below. It isn’t pretty, and my bank account felt it, especially as I funded my new business concept, Pulse Point HQ. ⬇️

The Shift

To be completely transparent, …

I need my real estate income.

Real estate is how I support myself and my family, so it’s time for me to dust myself off and kick my own business back into gear. Even if I don’t really “feel” like it.

This also creates an interesting opportunity.

Instead of trying to separately run my real estate business, build Pulse Point HQ, test Pulse Point HQ, and market Pulse Point HQ…

Why not bring all of those things together?

That’s what this project is.

I’m going to:

  • Work on building the real estate business I need.
  • Use Pulse Point HQ to help me do it.
  • Stress-test the systems I’ve built.
  • Refine them when necessary.
  • Share the whole process with other agents along the way.

Where The Money Goes

I follow the Profit First method to intentionally divide the revenue my business generates.

If I reach my goal of approximately $420,000 in Gross Commission Income, I want to be intentional about where it goes. My goal is for the business to pay me well, remain profitable, have taxes already accounted for, and have enough set aside to operate and continue growing.

My target allocations are:

Profit (5%) = $21,000
Owner’s Pay (50%) = $210,000
Taxes (15%) = $63,000
Operating Expenses (30%) = $126,000

30 Transactions is the Goal

Now I need a real plan for how I am going to acheive it in a way that works for me.

My 2027 Business Plan

Database Organization

I will sort my database by household and by relationship status.

I will organize my database of contacts by household and assign a relationship status to each household record.

‘A’ means that they have referred me on multiple occasions.

‘B’ means that they have referred me once.

‘C’ means that I believe they are likely to work with me when they do buy or sell.

‘D’ means that I’ve got their info, but I have not had a live conversation with them, either over the phone or in person — or at least not that I can remember. These are the cold contacts that have amassed in my database, mostly ignored except for those who occasionally receive a Homebot report.

Automatic Impressions

I will reach out to my database of contacts with 36 automatic impressions per year.

I have planned for 36 automatic impressions per year to each household in my database, and I want this to be as hands-off as possible with nothing relying on me to consistently “get it done.”

To achieve this, I will utilize Pulse Point HQ to automatically send 2 postcards per month to each household, for a total of 24 postcards per year.

Secondly, I will utilize Homebot to automate a monthly email to property owners in my database, accounting for up to 12 emails per year.

Personal Impressions

I will reach out to my database of contacts with between 4 and 16 personal impressions per year, depending on their relationship status.

Unlike my automatic impressions, these are the things that require something more personal from me.

Each household will receive up to 16 personal impressions per year depending on their relationship status and which activities apply to them.

Birthdays | 2 Impressions

Wedding Anniversary | 1 Impression

Home Purchase Anniversary | 3 Impressions

Customer Service Calls | 4 Impressions

Pop By Gifts | 4 Impressions

Client Events | 6 Impressions

Database Updating

I will aim to have a complete and thorough database of relationships.

I understand that to effectively market to my database, it is essential to have contact details for each household including:

  1. Mailing Address
  2. Phone Number(s)
  3. Email(s)

Additionally, it is ideal to have greater details to make personal outreach more effective, including:

  • Birthday(s)
  • Wedding Anniversary
  • Home Purchase Anniversary
  • F.O.R.D. Details

I will focus weekly on obtaining essential contact details for all households. For those details that are more personal in nature, I will focus on obtaining them for contacts with a Relationship Status of A, B, or C.

Grow My SOI

I will meet new people and build relationships to grow my SOI.

My sphere of influence has dwindled over time because I have not focused on adding new contacts for quite some time.

After a household is added, I will run a simple 8×8 system (as recommended in both The Millionaire Real Estate Agent and Ninja Selling), and then they will simply continue in my database marketing plan.

Because I have a goal to significantly increase my SOI, I will track the following metrics throughout the year:

  • Total Sphere of Influence #
  • # of Contacts in Each Relationship Status

I will primarily utilize LinkedIn connections to grow my SOI.

Secondly, I may host women’s events for the purpose of meeting new people, finding common ground and, ultimately, growing my SOI.

Prospecting

I will effectively market my listings to serve my sellers well and generate leads as a by-product.

Sign calls, open houses, inquiries.

I market a home, leads happen.

Strategies If Necessary

If, and only if, I don’t believe I am on track to hit my goals after consistently executing my core activities (Database Marketing, Growing My SOI, and Marketing My Listings) I may employ the following activities:

  • Holding open houses on listings that are not my own
  • Circle prospecting with unsolicited CMAs around property sales
  • Door hangers offering a CMA

I do not want to add more lead-generation activities simply for the sake of doing more. I will first execute the core plan consistently and then add additional prospecting methods only if the numbers show they are needed.

I have utilized each of these prospecting methods successfully in the past.

Boundaries

I will take personal time.

I will prioritize not working on Sundays. This is time I am setting aside to attend church, do things that I enjoy, rest and recharge, bake, and enjoy game night with my family.

I will put work down in the evenings if I do not have appointments and be present in my home.

I will not work with rude people.

I have learned through experience that such clients are not worth the income or the mental stress. If a client does not treat me or my time with respect, I will politely part ways.

Assistance

I don’t have to do it alone.

I will have my virtual assistant work part-time hours assisting me in my real estate business. She will utilize my written guides to aid in Listing Management, Transaction Coordination, and other Administrative tasks.

I will find and reach an agreement with a Showing Assistant who will assist me on an ongoing basis with property showings so that I can protect my Sundays and be home at least four evenings a week.

I will properly prepare my buyer clients to understand that they may also be shown properties by my Showing Assistant.

Lead Nurture

I will effectively follow up with all prospective homebuyers and sellers or refer them to another agent who has the capability of assisting them.

I will finalize my personalized lead nurture sequences for homebuyers and sellers and use them to communicate regularly with prospective clients while providing real value and information.

If I find that “hot” leads are not being appropriately followed up with for any reason, I will immediately refer that lead to another real estate agent within 7 days or, when appropriate, partner with another agent for additional help in converting the prospect into a client.

A Word of Caution to Myself

I allow the desire for perfection to delay progress. Therefore, I will be mindful that it is okay to move forward messy in ALL parts of my business.

I love creating and troubleshooting systems. I do not like executing those systems repeatedly once finished. Therefore, I will need to begin my day by executing the pillars of my business plan as best I can, and as quickly as I can, BEFORE creating anything new. When I do create a new system, I will always ask what can be delegated to an assistant. This will give me more time to do what I enjoy and less time doing repetitive work.

I can become obsessive over work, projects, and staying busy. This has led to severe burnout, frustration, and irritation in the past. Stop it. Literally, just stop it. I will do what I can in a day, and I will walk away with things unfinished. There is tomorrow. And if there isn’t tomorrow, I’m in heaven and I won’t care about what I didn’t get done the day before.

I am easily distracted by new ideas, plans, and more. I will bring focus to my efforts by creating a simple list of ideas for each category and only allowing myself to work on one thing at a time until its completion, as time allows.

Categories: Pulse Point HQ, RTown Real Estate, Home Life, Personal Growth.

I currently lack motivation for real estate sales and purchases. I understand this is where I’m at right now, and I acknowledge that it’s okay to struggle. I’ve been selling real estate since 2011; ups and downs in motivation and enthusiasm are to be expected.

I will combat my lack of desire with:

  • Thankfulness and Gratitude. I will be grateful for work that provides for my family, for health that allows me the ability to work, and to God for His faithfulness and His grace toward me.
  • Service to Others. I will find purpose in my work by acknowledging that the service I provide makes a real, tangible difference in my clients’ lives. Because of this, I will work with skill, care, and kindness.
  • Celebrate the Small Things. I will take time to remember the things I’ve enjoyed about work, repeat those things, and celebrate those moments. I will pray for wisdom, for my client, and for the Holy Spirit’s leading before heading into client meetings. I will sing enthusiastically in the car. I will be exhilarated by a tough conversation or meeting that went extremely well. I will celebrate new clients choosing to work with me. I will find satisfaction in providing homebuyers and sellers with information that equips them to make informed choices.

I will look to find joy in the work again.

Closings are the result. But closings don’t happen without business-producing activities.
They come from the things you do weeks and sometimes months beforehand. So beginning October 1, 2026, I’m tracking both.

THE ACTIVITIES BEHIND THE RESULTS

This may actually be the most important part of the project.

I’m not only going to show you what I close. I’m going to track the activities that created those closings.

Growing My Sphere

Beginning October 1, 2026, I’m tracking the size of my SOI, and how those relationships are distributed among contacts with a Relationship Status of A, B, C or D.

The goal isn’t simply to collect more names. The goal is to grow the number of people who know me, trust me, and may someday choose to work with me or refer someone who will.

I couldn’t find the system I wanted, so I built it.

Why I Built Pulse Point HQ

I think in systems.

Actually, I really enjoy building systems.

Real estate is fun — most of the time.

But what really fires up my brain is learning something, figuring out how it works, creating a process around it, testing it, improving it and then finding a way to make it easier to repeat.

That’s a big part of why Pulse Point HQ exists.

Over the years, I’ve run my own real estate business, trained and mentored agents, and now serve as the broker-owner of RTown Real Estate, a boutique real estate brokerage in Northern Colorado.

And there’s something I’ve seen over and over again — including in myself.

Agents know a lot of the things we’re supposed to do.

The problem is consistently doing them.

There are fantastic business-building concepts in books like The Millionaire Real Estate Agent, Ninja Selling, and many others. And real estate coaches teach the exact same thing!

None of that is particularly mysterious.

And yet somehow, it can be incredibly difficult to execute consistently while actually running a real estate business.

I’ve certainly done it.

And I wanted something that made those things easier to actually execute.

I’ve been a real estate broker for 15 years, and I’ve tried a lot of what’s available.

It always felt like I was stuck between two extremes.

On one side were super simple systems — basically trying to make something like Outlook or Google function as a CRM. They were easy enough to use, but they didn’t have enough functionality to do everything I actually wanted.

On the other side were CRM systems that could seemingly do EVERYTHING, but were so stinking complicated to set up and maintain. Fifty custom fields. Drip campaigns to create. Automations to build. A million things you could do — and somehow a whole bunch of them never actually got done.

And through all of it, I still didn’t have something that helped me do one of the things I believed mattered most to the success of my business:

Consistently market to my database.

So I decided to build it.
